How to Open the Commons
Instructions for Weekdays
Weekdays (Monday - Friday)
Opening at 8 a.m.
- Retrieve Commons Desk Key from facility combination key box (refer to personal manual).
- Unlock Commons Desk.
- Put Commons Desk Key back into facility combination key box (refer to personal manual).
- Secure Combination Key box.
- Verify Public Safety unlocked exterior doors.
- Verify that game room door is locked. (Game room does not open until 12 p.m.)
At 12 p.m.
- Make sure Game Room Staff is present.
- Retrieve Game Room Door key and Game Room Desk keys from key box and Open Game Room Door and Game Room Desk.
- Give the Game Room staff the Game Room Desk Cabinet keys only.
- After door is open, keep the door lock locked and prop door open with doorstop.
- Put the game room door key back into the Commons key box.

Weekends (Saturday - Sunday)
Opening at 10 a.m.
- Retrieve Commons Desk Key from facility combination key box (refer to personal manual).
- Unlock Commons Desk.
- Put Commons Desk Key back into facility combination key box (refer to personal manual).
- Secure Combination Key box.
- Verify Public Safety unlocked exterior doors and Fireplace lounge.
Verify that game room door is locked. (Game room does not open until 12 p.m.)
At 12 p.m.
- Make sure Game Room Staff is present.
- Retrieve Game Room Door key and Game Room Desk keys from key box and Open Game Room Door and Game Room Desk.
- Give the Game Room staff the Game Room Desk Cabinet keys only.
- After door is open, keep the door lock locked and prop door open with doorstop.
- Put the game room door key back into the Commons key box.
How to Close the Commons
11 p.m. Game Room Closes
- All student out of area by 11 p.m.
- Pick up all trash.
- Verify video game cabinets and Game Room Desk are locked.
- Make sure all TVs are turned off.
- Turn off Game Room lights.
- Close doors and make sure both are locked (if not locked, retrieve key from key box and lock the door).
- Commons Attendant puts Game Room keys into key box.
11 p.m. General Building Closing
- Walk around Commons one last time to make sure everyone is gone. Nobody should be in the Commons after closing. (exception is housekeeping or building staff).
- Finish any building reports/forms on the website.
- Turn off PC located on the desk.
- Close the lost and found cabinets.
- Lock Commons Desk (Push lock buttons).
- Have a good night.

Commons staff are responsible for making sure their replacement is in place prior to leaving. If the replacement staff does not show, please review the following procedures specific to your area. Keep in mind, you cannot leave until you complete the process below which applies to your area. Leaving an area unsupervised should be your last resort.
Game Room
At shift start call the staff member in the Game Room and find out where the staff member is.
- If they answer, see when they are coming to work or get reason they are not coming to work.
- If he/she does not answer, leave a message on voicemail.
- If staff is running late:
- Stay until he/she arrives (if possible).
- If staff is not coming for shift or If he/she does not answer:
- Can you or other staff from prior shift if they can cover?
- Call staff from next shift to see if they can cover.
- If no coverage is found (and area is not supervised), then clear and close game room completely and lock the door.
- Game Room will reopen when staff from next shift arrives.
- Put Game Room keys back into Commons Desk keybox.
- Fill out Staff Conduct Report Form on computer website to report the staff No Show.
Commons Desk

Fun-til-1 Assistant
- Upon arrival, please contact the Graduate Assistant on staff.
- You are responsible for the set-up and break-down of the Fun-til-1 being hosted.
- Help the Graduate Assistant with any necessary tasks.
Event Assistant
- Upon arrival, contact the Graduate Assistant for location and description of the event taking place.
- You are responsible for completing the tasks assigned by any member of the Campus Engagement team.
Front Desk Assistant
- Upon arrival, please begin by returning the Commons furniture to the location it should be in. Refer to the photos in the Google Drive for this.
- Clean all tables and surfaces throughout the Commons (first and second floor).
- Take a headcount for the first and second floors of the commons.
- Report any damaged furniture on the report form in the Google Drive.

Commons Desk: Commons Posting Policy
All notices posted on the Arcadia University campus must follow the policy guidelines below and will be removed if guidelines are not followed. Violation of any aspect of this policy may result in the loss of posting privileges by offending organizations.
ON-CAMPUS GROUPS: Recognized student organizations and Arcadia University academic and administrative departments must follow all posting guidelines.
OFF-CAMPUS GROUPS: Individuals or groups that do not meet the above criteria must first seek the approval of the Student Affairs Office, located on the 2nd floor of the Commons. All approved notices (maximum of 10) will be stamped, dated and posted by a representative of the Student Affairs Office. Postings are approved for a maximum 2- week period. Off-campus organizations may not distribute materials on campus, either by hand or on vehicles.
Posting Policy Guidelines
1. Notices must clearly state the organization or sponsor and any other pertinent information including date, time, location and cost.
2. Flyers making any reference to alcohol (either written or pictorial) are not permitted.
3. It is the responsibility of the group posting notices to remove them once the event is completed.
4. Items that promote anything in violation of Arcadia University policies and procedures will not be approved and will be removed if posted without prior approval.
5. Notices must be posted on Commons bulletin boards that are specifically designated for use by student organizations, departments or offices. Posting is limited to these bulletin boards only. Postings found anywhere else in the building will be removed and discarded.
6. To hang postings, place flyer into bulletin board using thumb tacks. NO TAPE or PUTTY.
7. If bulletin boards are full, then flyer cannot be posted.
